First-Day Setup Checklist
When you first sign in to Digital Bahi, the Setup Center guides you through the required and recommended steps before you record your first Purchase or Sale.
If your business was created through self-registration, the first login opens a shorter onboarding view with the four essential items and optional Opening Balances. You may continue to the Dashboard and return to the full Setup Center later. See Register Your Business for the complete registration-to-login flow.
Follow this checklist in order for a smooth onboarding experience.
Step 1: Business & Period Setup
- Complete Your Business Profile (Required): Go to Settings > Business Profile (or click the first task in the Setup Center) and fill in your Business Profile. Business Name, Address, State, and PAN Number are required for trading readiness. If you enter a 15-character GSTIN, Digital Bahi automatically derives and validates your State and PAN Number.
- Verify GST Configuration (If Applicable): If your business is GST-registered, verify that your GSTIN, State, and HSN/SAC tax rates are accurate so the system can calculate intra-state (CGST + SGST) vs. inter-state (IGST) taxes. Digital Bahi does not provide legal tax advice; consult your CA for your specific requirements. Learn more.
- Confirm Your Active Financial Year: Ensure you have an open, active Financial Year (for example, April 1 to March 31) covering today's date.
Step 2: Core Masters & Opening Balances
- Import or Create Commodities (Required): Open Commodities and use Add from Platform Catalog to batch-import standard Mandi crops with pre-mapped HSN codes and GST rates, or create custom commodities.
- Review Business Charges & Mandi Tax Setup (Required): Open Charges & Mandi Tax Setup to verify the standard provisioned Mandi business charges (Aadat, Tulai, Dhanka, and Jharai) and review Mandi Tax & Fee Setup (under Setup > Other setup & master settings) for your state's statutory Mandi Tax (Mandi Shulk), Krishi Kalyan Cess, RDF, or Market Fee rates.
- Add Bank Accounts: Register your operating bank accounts in Bank Accounts so you can record NEFT/RTGS/UPI/Cheque payments, receipts, settlements, and expenses.
- Enter Account Opening Balances: If you are migrating existing ledger balances, use the guided Account Opening Balances screen to enter your opening debits and credits for Cash, Bank, Farmer, Party, and Capital accounts.
- Add Farmers and Buyers: Create your regular Farmers and Buyers (or add them as they arrive during daily trading).
Step 3: Inventory & Fixed Assets (Optional)
- Record Opening Stock (or Mark Not Applicable): If you already hold physical grain in your godowns, record an Opening Stock entry. If you have no existing inventory, click No Opening Stock in the Setup Center to mark the step complete.
- Add Fixed Assets: If you track depreciation on weighbridges, computers, furniture, or vehicles, add them under Fixed Assets.
Step 4: Users & Access
- Create Staff Accounts: Create individual Users for your munims, operators, and accountants. Do not share your owner login.
- Assign Roles & Permissions: Use Roles & Permissions (or clone a system template such as Manager, Accountant, Operator, or Viewer) to control who can create, approve, or reverse entries.
Step 5: Verify Your Setup
- Check Setup Center Status: Open the Setup Center and confirm your status shows Ready to Trade.
- Test a Draft Entry: If you want to practice before live operations, create a test Purchase and keep it in Draft status so you can delete it afterward. (Note: Once a transaction or voucher is Posted, it becomes part of your permanent accounting audit trail and must be cancelled or reversed rather than deleted—see Corrections and Reversals).
